Personal Assistant – Private Client and Actions against Police and State Departments

Bindmans LLP’s Private Client and Actions against Police and State Departments are seeking to recruit a Personal Assistant to work across both departments. The successful candidate will provide equal PA, secretarial and administrative support to fee earners within both teams. Ideally, the successful candidate should be working, or worked, as a secretary or PA and have good experience in the legal sector. You should also have experience, or a keen interest, in the areas of Private Client and Actions against Police and State departments.

This is an exciting opportunity for someone wishing to take the next step in their career, and may be suitable for candidates currently in a secretarial team leader or a team co-ordinator role.

The role is primarily focused around providing billing support to both teams.

The principal duties of this role include:

  • Being the first point of contact for all administrative support within the department
  • Coordinating the workload of the department to include:
    • billing (private and legal aid/publicly funded matters)
    • liaising with the finance team/billing coordinators
    • liaising and allocating typing to outsourcers
    • dealing with existing and new client queries;
    • managing fee earner diaries
    • making appointments and arranging meetings.
  • Undertaking administrative tasks for the department such as:
    • opening and closing files on the firms case management system
    • assisting fee earners with case administration and preparation
    • archiving
    • filing both manual and electronic.

The successful candidate will need to be highly motivated and must have:

  • good experience in a secretary or PA role within a law firm
  • experience of Legal Aid and private billing is desirable
  • good communication, organisation and administrative skills
  • fast, accurate typing
  • an excellent telephone manner
  • a flexible and professional attitude
  • an ability to work on confidential matters and under pressure, together with a keen eye for detail.
